Update Of Ms Access Db 01.12.08


Below is the description of the changes we need. Some of it will only make sense after seeing the files, but it should give you enough to understand the nature of the job.

Database – Phase 1 (MS Access cleanup)

This database is front end for use on individual terminals, and the back end is assumed to be on a networked drive of X:Database files
This can be changed but we would need it to be in that format when we use it. We can change the front end to look for the back end anywhere once we have it returned.

We would like the DB to be capable of being shared by more than one user at at time.

It can stay in Access 2000 or Access 2002 format. We do not want it upgraded to Access 2007.

We wish to expand our use of this database and need the following specific features corrected or developed further as listed below. After this initial correction work, we will then be looking to have further development in the way of features, reporting and so on carried out.

1. All buttons for sections, reports, etc. all on one page (no nested lists of reports).

2. In Contacts->Customers – Allow an email address for each individual person in the list (right now you cannot input an email address in the “Email column”

3. In Contacts->Customers – A field for “Accounting email”

4. In Contacts->Customers – A free text field for “Invoicing instructions”

5. In Contacts->Customers – Increase permitted characters in these fields: “Tel:” “Email” “Fax” “Website” “ftp” “login”

6. In Reports->Head office reports – “Receivable aging” report shows all orders. It should only show unpaid orders

7. In Orders – In the Price Details Tab, “Description should be broken into two sections: “Task” and “Language” (this should makes this section similar to the “Contractors” tab.

8. Occasionally an individual order gets deleted (I don’t know how – it shows “#Deleted” in all the fields) and this messes up the db. Can it be made that an order cannot be deleted?
Also, the auto numbering facility for orders will skip a number for no apparent reason. So, it would appear in the bottom of the numbering being one less than the auto numbered field shows at the top of the order. What action is needed to prevent this from happening?

9. In Orders – At the bottom is a button that reads “Full Invoice.” However this button does not work. We need this button to work and generate an invoice from the order fields(see attached template). Of course the invoice will not contain any other information in regard to contractors.

10. In Orders – At the bottom is a button that reads “Partial Invoice.” This form opens, but no information from the order appears in the form. We need this form linked to the order details. (SO the order details populate the form.)

11. On the opening page (where all the buttons are), we would like a “dashboard” that shows statistics from the orders database. These are the values that should show up on the dashboard:
Order value this month
Order value last month
Order value year-to-date
Average order amount (value) this year
Number of orders year-to-date
Number of orders this month
Number of orders last month
Top 10 orders (in terms of value) year-to-date
Top 10 clients (in terms of order value) year-to-date
If a dashboard style screen is not possible, then we would need to have a button that can generate all the above statistics in a single page report.

12. In Orders – Increase the number of allowed characters in “Customer Ref.”

13. In Orders – At the bottom is a section called “Margin.” Move this to the top under “Taken by:”

14. In Orders – include a button somewhere that takes you directly to the “Customer” entry for the Customer listed in the order.

15. In Orders – In the Contractors tab there is a “Contractors Purchase Order” button. This works by selection the line item in the contractors list. This problem is that it always selects all instances of a certain contractor (this means if a person is listed several times, all instances are listed on the CPO). We need this changed to that only the lines in the contractor list you select appears on the CPO but we would need to be able to select multiple lines.

16. In Orders – In the Contractors tab each line needs a check box for “Invoice received” and “paid”. The date field at the right can come out.
